Search for free gym management software in India and you will get two kinds of result: software that is free for fourteen days, and software that is free until you try to do something useful with it. Genuinely free options exist, but they are fewer than the search results suggest, and each is free in a different way. This is a comparison of the ones that are actually worth a small gym owner's time - written by a vendor, which you should hold against us while reading.
How we judged "free"
A free plan is only free if all four of these hold:
- No expiry. A 14-day or 30-day trial is a trial. Calling it free is marketing.
- A workable member limit. A cap of 20 members is a demo. A cap that covers a real small gym is a plan.
- Your data comes out. If export is paywalled, the free tier is a trap with a longer fuse.
- No branding tax. Your invoices should not carry someone else's logo.
Judged that way, most of what ranks for this query does not qualify.
1. Fitplex Free Forever
Free for: up to 75 members, permanently. Card required: no. Export: yes, on the free plan.
Ours, so weigh it accordingly. You get the member database with photos and payment history, manual attendance with a lapsed-member list, packages and offers, payment recording with PDF invoices, body measurements with progress photos, the owner dashboard, and full Excel export. Built in India, so GST-format invoicing, UPI and Indian phone formats are native rather than bolted on.
Where it falls short: no member mobile app on the free plan, no automated WhatsApp reminders, no biometric or face attendance, and no GST reports - those start at ₹6,000 a year. It also needs internet; there is no offline desktop mode. If your gym is over 75 members you are not a free user, you are a Starter user, and we would rather say that now than after you have entered 300 members.

2. Zen Planner, Glofox, Mindbody and the international tier
Free for: nothing. All trial-only.
These are capable, mature platforms and they are not free at any tier - the "free" in the search result is a 14 or 30-day trial. They are also priced in dollars against a fitness market with very different economics, which for an Indian gym under a hundred members works out somewhere between painful and absurd. GST handling is usually an afterthought or absent, and support runs on a timezone that is not yours.
Consider them if: you are a premium multi-location chain with international ambitions and a real software budget. Otherwise this tier is not aimed at you.
3. Gym Master, Gymie, and the Indian paid-tier vendors
Free for: a trial, typically 7 to 14 days.
Several solid Indian vendors sit here, and some have genuinely good hardware integration - Gym Master in particular is dependable on door locks for 24/7 access. They are worth a look when you are ready to pay. They are not free-tier options, so if free is your constraint today, they are a shortlist for later rather than a choice for now.
Watch for: per-member pricing at this tier. A price that rises as you add members means the software charges you for succeeding. Ask which model you are being quoted before you compare headline numbers.
4. Google Sheets or Excel
Free for: everything, forever, genuinely.
The most-used gym management system in India, and it deserves to be on this list honestly rather than dismissed. It costs nothing, needs no training, and for a gym under about forty members it is entirely adequate. Google Sheets even solves multi-user editing and backup, which are two of the four classic spreadsheet failures.
Where it falls short: a spreadsheet stores what you typed and answers only what you ask. It will never tell you twelve memberships expire on Friday or that a member has quietly stopped attending. Best for: under 30-40 members, one person handling everything, no growth plans.
5. Open-source options (Open Source Gym, self-hosted forks)
Free for: the licence. Not the rest.
Genuinely free software with no member cap, and you control the data completely because it sits on your own server. That is a real advantage and we will not pretend otherwise.
Where it falls short: you are now running a server. Hosting, SSL, backups, security patches and the upgrade that breaks something at 9pm are all yours. Most projects in this space have thin or dormant maintenance, Indian GST handling is usually absent, and there is nobody to call. The licence is free; the operating cost is a person who knows Linux.
Best for: a technically capable owner who genuinely wants to self-host, or a chain with existing IT staff.

Four questions to ask any vendor before you sign up
- Is this free forever, or a trial? Get the answer in writing. The distinction is routinely blurred in marketing copy.
- What is the member cap, and what happens the day I cross it? "We will discuss it" means the price is negotiated when your leverage is lowest.
- Can I export everything, on the free plan, without asking you? Vendors who import enthusiastically and never mention export are telling you something.
- Is the price per gym or per member? Per-member pricing means growth raises your bill automatically.
So which is best?
If you have under 40 members and no growth plans, stay on the spreadsheet - switching would be churn for its own sake. If you have between 40 and 75 members, a real free plan gives you expiry alerts and lapsed-member visibility that a sheet structurally cannot, and Fitplex Free is the option we would point you at, with the obvious caveat about who is writing this. Over 75 members you have left the free tier regardless of vendor, and the honest question becomes which paid plan, not which free one.
