Live In 2 Minutes · No Credit Card · Free Data Migration · Export Your Data Anytime
Most gyms in India under a hundred members are still run on a paper register and a WhatsApp group, and it works — right up until the day it does not. A member swears they paid in cash last month. Twelve memberships expired while nobody was looking. The one person who understands the diary is on leave.
Free gym software is supposed to solve that, except most of it is not really free. The member cap is twenty. The export button is disabled until you pay. Your invoices carry someone else’s logo. Or it is a fourteen-day trial wearing the word “free” as a costume.
Fitplex Free Forever is a plan, not a trial. Up to 75 members, no card, no expiry, and a full data export whenever you want it. You use it until your gym outgrows it, and if that day never comes, you never pay us. Below is exactly what you get, exactly who it suits, and an honest answer to the question every gym owner asks about free gym management software: what is the catch?
No feature below is time-limited, watermarked or degraded on the free plan. Where a capability is genuinely paid-only, we say so in the same paragraph rather than burying it.
Every member gets a profile: photo, phone, address, emergency contact, joining date, plan, expiry and full payment history. Search by name or phone and the record opens in one click. This alone replaces the register at the desk, and it is the part most gyms feel the difference in during week one - no more flipping through a diary while a member waits.
Mark attendance from the dashboard as members walk in. You get a daily log, per-member attendance history, and the thing that actually matters commercially: a list of who has stopped coming. A member who has not checked in for three weeks is a member about to not renew, and on the free plan you can already see them. Face recognition, thumb and RFID check-in are paid features, but manual attendance is free and unlimited.
Set up your monthly, quarterly, half-yearly and annual packages once, with your own prices, and assign them at joining. Add personal training packages, cardio-only rates, couple offers, student rates or a joining discount. Expiry dates are calculated for you, so nobody has to count forward on a calendar.
Record cash, UPI, card or bank transfer against a member and Fitplex generates a proper PDF invoice you can print or send on WhatsApp yourself. Part payments and pending dues are tracked, so the pending-dues list is always current rather than something you reconstruct at month end. GST-format invoicing and GST reports are on the paid plans; plain invoicing is free.
Log weight, body fat, chest, waist, arms and the rest against a date, and attach progress photos. Over a few months this becomes the single most persuasive renewal argument you have, because you can show a member their own numbers instead of describing them.
Today's collections, this month's collections, active members, memberships expiring this week, and members who have gone quiet. These are the five numbers a small gym actually runs on, and they are on the free plan because a gym that cannot see them cannot be run properly at any price.
Automated email for renewals and receipts. Automated WhatsApp reminders with a UPI payment link - the ones that actually get opened in India - are a Starter feature, and they are the single most common reason a gym moves off the free plan.
Full Excel and CSV export of members, payments and attendance, on the free plan, without asking us. See the data ownership section below - we mean this literally.
A single-floor gym with forty to seventy members and one or two people at the desk is the exact shape the free plan was built around. You get the member database, the expiry list and the collections number, which is roughly ninety per cent of what a small gym needs from software. You are not paying for multi-branch reporting you will never open.
PT studios run on fewer members at higher value, which puts almost all of them under the 75-member line permanently. The body measurement and progress photo tracking matters more here than anywhere else: it is the record you show a client when a package is up for renewal, and it does more selling than any message you could write.
Batch-based studios have a different rhythm — short packages, seasonal enrolment, members who drift away quietly. The attendance log and the lapsed-member view are the useful bits, because a yoga member who has missed two weeks rarely announces it. Class and batch scheduling is a Pro feature, so studios that need a full timetable will outgrow free faster than a weights gym will.
If you are opening in the next few months, start on free from day one and never build the paper habit at all. Enter members as they join, and by the time you cross 75 you will have a year of clean history rather than a diary to type up. Data migration from a spreadsheet or another system is free on every plan, including this one.
Most gyms weighing this up are not choosing between two software products. They are choosing between software and a spreadsheet that mostly works.
| What happens when… | Register / Excel | Fitplex Free |
|---|---|---|
| A member says they already paid | You search the diary, or take their word for it | Open the profile, see the payment and the invoice |
| You want this week’s expiries | Read every row and compare dates by eye | It is on the dashboard when you log in |
| The desk staff member leaves | The knowledge leaves with them | Everything is in the system, not in someone’s head |
| The laptop dies or the register is lost | The records are gone | Backed up off-site daily, open it from any device |
| Two people update at once | Two versions of the file, one of them wrong | One live record, updated in real time |
| A member stops turning up | You notice a month later, if at all | They appear in the lapsed-attendance list |
| You need a receipt for a member | Handwritten, or a Word file you edit each time | PDF invoice generated from the payment |
| You want last year’s numbers | Depends whether the file survived | Full history, exportable to Excel anytime |
| You are at home and need a number | The file is on the gym computer | Log in from your phone |
| Cost | ₹0 | ₹0 |
A longer version of this, including how to move an existing membership sheet across without retyping it: free gym software vs a gym membership Excel sheet.
Stated plainly, because you will find out eventually and it is better you find out now.

You are right to ask. “Free” in software usually means one of three things: your data is the product, the free tier is crippled until you pay, or it is a trial with the word filed off. So here is the actual commercial logic, which is duller than any of those.
A gym under 75 members was never going to buy software anyway. That is the honest starting point. Small gyms in India run on a register because paid software costs more than the problem appears to be worth. We are not losing revenue by giving them the free plan, because there was no revenue there to lose.
What we get is the gym that grows. Some fraction of gyms on the free plan cross 75 members, or decide they want WhatsApp reminders going out automatically, or buy a face recognition device. When that happens, the switch to a paid plan is one click, because everything is already in the system. That is the entire business case: we would rather be the software you already use than the software you have to be sold.
The cost of carrying you is genuinely small. A seventy-member gym is a rounding error in server terms. We are not subsidising you at some heroic expense; we are absorbing a cost that is close to nothing in exchange for a real chance at your business later.
What we do not do: we do not sell your member data, we do not advertise to your members, we do not put our logo on your invoices, and we do not hold your data hostage to make leaving painful. If any of those were the plan, we would have had to hide it, and a page like this one would be impossible to write.
The commonest trap in free gym software is not the price. It is that getting your data back out costs money, or is not possible at all.
Plenty of vendors import your members enthusiastically and offer no export. That is not an oversight, it is the retention strategy: once three years of payment history lives only inside their product, the switching cost does the selling for them.
Members, payments and attendance to Excel or CSV, from the dashboard, on the free plan. No ticket, no fee, no notice period.
Your members’ details are not sold, rented or shared with advertisers. See the privacy policy for the full position.
Automatic encrypted backups every day, on the free plan as on every other. Free accounts are not on a lesser tier of protection.
We move your existing register or spreadsheet in for free, and you can take everything back out for free. Both directions, deliberately.
It is genuinely free forever. There is no 14-day countdown, no card on file and no expiry date on the free plan. If your gym stays under 75 members you can run it on the free plan for years without ever paying us. The paid plans exist for gyms that outgrow the member limit or want face recognition attendance, WhatsApp reminders and the member app.
We tell you as you approach the limit and we do not lock you out overnight. You move to the Starter plan at ₹6,000 per year plus GST, which has no member limit at all, and your data stays exactly where it is - same login, same members, same history. Nothing is re-entered.
No. The free plan asks for no card, no bank details and no UPI mandate. You only give us payment details if and when you decide to buy a paid plan.
The member mobile app is not part of the free plan. Free gives your team the full web dashboard, which works in any browser on a phone, tablet or desktop. The Fitplex member app on the Google Play Store and the Apple App Store starts on the Starter plan, Growth adds AI diet and workout plans, and Pro publishes that app under your own gym's name and logo.
Yes. Fitplex is cloud software, so the front desk needs a working internet connection - an ordinary broadband line or a phone hotspot is plenty. The upside is that your data is backed up off-site every day, and you can open your gym's dashboard from home or from a second branch without installing anything.
The member-facing app supports several Indian languages, and WhatsApp message templates on the paid plans can be sent in English, Hindi, Punjabi and other Indian languages so your reminders read naturally to your members. The admin dashboard itself is in English. There is also a Hindi version of this page at /hi/free-gym-software.
None. The free plan costs zero rupees: no setup fee, no onboarding fee, no per-member charge and no charge for support. Paid plans are priced per gym per year with GST shown separately, and they are the only figures we will ever invoice. We do not take a percentage of your collections.
Your data sits on the same encrypted infrastructure as our paying customers, over HTTPS, with automatic daily backups. Free accounts are not on a lesser tier of security or a lesser tier of backup - that would be a strange thing to skimp on, and it would put our paying customers at risk too.
You do. Your members, payments, attendance and measurements belong to your gym, not to us. You can export them to Excel or CSV at any time, on any plan including the free one, without asking permission and without a fee.
Yes to both. Upgrading from Free to Starter, Growth or Pro takes effect immediately and you pay only for the remainder of your year. If you downgrade, it takes effect at your next renewal. Your records stay intact through either move.
Yes. Separately from the free plan, you can take a 14-day trial of a paid plan with no card required, so you can see face recognition attendance, WhatsApp reminders and the member app working on your own data before deciding.
We would say so, but we are hardly neutral. What we can say plainly is what most free gym software does not give you: no member cap of 20 or 30, no locked export, no watermark on your invoices and no expiry. If you want an outside view, read our comparison of the best free gym management software in India, which lists the real alternatives alongside us.
Up to 75 members, free forever. No credit card, no expiry, no sales call — and your data comes back out whenever you want it.
Live in 2 minutes. Free data migration from your register, spreadsheet or old software.
